How do I schedule a Zoom meeting?

How do I schedule a Zoom session for a class?

Environment

  • Zoom
  • Outlook
  • D2L

Resolution

Zoom meeting options:

  • Meeting ID – choose either Generate Automatically or Personal Meeting ID
  • Security – choose Passcode, Waiting Room, or Require authentication to join
  • Video – choose to start video automatically for Host and Participants
  • Audio – choose Telephone, Computer Audio, or Both
  • Allow participants to join anytime
  • Mute participants upon entry
  • Automatically record meeting
  • Approve or block entry to users from specific regions/countries
  • Alternative Hosts – if needed

Scheduling and Hosting Zoom outside of D2L

  1. Go to https://usd.zoom.us/
  2. Click Sign in
  3. Use your USD login credentials when prompted to log in
  4. Click Meetings along the left side under Profile
  5. Click Schedule a Meeting on the far right
  6. Setup Meeting Details using Zoom options listed above
  7. Click Save
  8. To invite participants, click Copy Invitation
    Note:
    Use your email application to paste and send this invitation to participants

When it is time to start the meeting

  1. Return to the Meetings tab in your Profile
  2. Click on Upcoming under Meetings
  3. Click Start beside the meeting that you choose

Scheduling Zoom in D2L

  1. Open your course in D2L
  2. In the Navigation Bar Click Communication
  3. Click Zoom Conferencing (USD)
  4. Along the right side, you will see Schedule a New Meeting
  5. Setup Meeting Details using Zoom options listed above
  6. Click Save
    Note: Students will be able to view Meetings that are scheduled for class here
    Note: Students can not host/schedule Zoom meetings inside of D2L

When it is time to start the meeting

  1. Return to the Zoom Conferencing (USD) in your D2L course
  2. Click Start beside the meeting that you choose
    Note: Self-paced training is available Using Zoom in D2L 
    Note: Only Instructors may schedule Zoom Meeting inside of D2L

Scheduling Zoom in the Zoom App

  1. Open the Zoom App on your computer
  2. Click  Home along the top
  3. Click  Schedule along the left side
  4. Setup Meeting Details using Zoom options listed above
  5. Click Save
  6. Copy Invitation and send to participants

When it is time to start the meeting

  1. Return to the Zoom App on your computer
  2. Click Start beside the meeting that you choose

Scheduling Zoom in the Outlook plugin

  1. Follow Adding Zoom Scheduling Plug-In to Outlook
  2. After installation, there are two buttons in your Outlook Home Ribbon
    1. Schedule a Meeting
    2. Start Instant Meeting
  3. Click Schedule a Meeting in your Outlook Home Ribbon
  4. Setup Meeting Details using Zoom options listed above
  5. Click Save
  6. Send invitation to participants in Email from Outlook
    Note: This saves the calendar and details of the Zoom Meeting

When it is time to start the meeting

  1. Click Meeting Link in your Outlook Calendar
