How to book flights for faculty, staff and students through the University of South Dakota (USD)'s contracted travel agency, Direct Travel.
Answer
Note: Ticket prices are not guaranteed until ticketed. All reasonable effort should be made to select and confirm your flight option as soon as possible
- Obtain an approved out of state travel request (OSTR)
- Contact Direct Travel
- For individuals:
- Groups of ten (10) or more:
- In the emailed flight quotes to Direct Travel include
- Travel from where (Sioux Falls, Sioux City, Omaha)
- Travel destination
- Dates of travel
- Direct Travel will send an email with several flight options
- Reply to Direct Travel clearly stating which flight option to book
- For Faculty and Staff Direct Travel needs
- A Direct Travel profile
- If no profile is set up, must provide:
- Name as it appears on driver's license
- Date of birth
- Approved travel request (TAR) number
- For Students:
- Direct Travel profiles are not set up for students
- Provide Direct Travel:
- Name as it appears on driver's license
- Date of birth
- Approved travel request (TAR) number
- Direct Travel will email the confirmed flight itinerary to the department/traveler and USD Travel
- Review the itinerary within twenty-four (24) hours of ticketing to ensure accuracy
- If incorrect, reply to Direct Travel in the itinerary email requesting a correction
- Any changes made to a ticket outside of the first twenty-four (24) hours will incur a change fee
- Flights are billed monthly to the department by USD Accounting using the index input into the approved travel request
Note: If more than one index listed,
- Flight is billed to the first index listed
- Department must complete a journal voucher (JV) in Banner to recode to redistribute the billed expense
