Recruit for Faculty and/or Temporary positions

Cause

An initiator or supervisor needs to request to recruit an open faculty and/or temporary position.

Resolution

  1. Login to Yourfuture by clicking on SSO Authentication
  2. Click in the top left-hand corner
  3. Select Applicant Tracking System module (blue toolbar)
  4. Select Initiator or Supervisor as your User group in the top right corner
  5. Select Faculty or Temp from the Postings tab
  6. Select Create New Posting
  7. Select option for creating the posting:
    1. Create from Position Type – most common selection
    2. Create from Posting – use only if you have a prior posting for the same position
  8. On the next screen, enter in the required fields:
    1. Working Title – same as the job title
    2. College/Unit
    3. Department
  9. Select the appropriate Job Alert Category related to the position – applicants can opt to receive job alerts related to the category
  10. Select the Applicant Workflow State to be Under Review by Department/Committee
  11. Skip the References section; we do not use this as it causes issues in the system
  12. Accept online applications and allow supporting documents
  13. Click Create New Posting
  14. On the next screen, complete each tab on the left of the screen. Click Save or Save & Continue in each tab
    1. In the section that asks, What is the overall purpose of the position?, answer the following required questions:
      1. What is the alternative to filling the position?
        • In other words, can an interim be named and hold on filling the vacated position?
      2. What are the consequences of holding the position vacant?
      3. If necessary, what position would you cut (not including those currently “held”) in order to fill this position?
  15. On the last screen, you will have an option to Take Action on the Posting at the top right
    1. Route according to your organizational structure. Contact USD HR at hr@usd.edu for more information.
      1. The standard approval process for recruit requests is:
        • Initiator or Supervisor creates and submits the request in Yourfuture
        • Dean/Director reviews and approves – this step is optional, depending on the org structure and leadership expectations
        • Budget (for main campus) or College Budget (for Health Sciences)
        • Vice President/Admin
        • Human Resources (initial review)
        • President (approval to recruit) – all positions need the approval of the President prior to any advertising.
        • Human Resources (finalize and post)
  16. Click Add to Watch List to add action to your Home screen to make it easier to access 

Note:  USD HR will post the job once the posting request has been approved
