SharePoint Backup

Issue/Question

My research lab is using SharePoint as a file hub for our study. We wondering about backing up information stored on the site. Is that something individual users should be doing, or is that something that is automatically backed up through USD somehow?   If the latter, how would we go about retrieving backed up files if needed?  Relatedly, we were wondering about backing up files on USD computers (using USD login credentials) in general. How can that be done or how do you suggest going about it?

  • Microsoft Teams

Resolution

We recommend using Microsoft Teams over standard SharePoint sites for most use cases. Recently Microsoft has been pushing users towards Microsoft Teams and are they are rapidly expanding its capabilities. The core capabilities in Microsoft Teams include business messaging, calling, video meetings, and file sharing.

Getting started is easy and you don't even need someone from IT. Team Site creation is simple:

  1. Go to https://teams.microsoft.com 
  2. Sign in with your USD Email Address
  3. Select Work or School account
  4. Sign in with your USD Email and Password
  5. Click Join or Create a team at bottom of screen
  6. Select Create Team to create a new team
  7. Enter a name and add a short description
  8. By default, your team is Private, meaning you'll have to add the people or groups you want on the team
    Note: Select Public if you want anyone in the organization to be able to find and join the team
  9. Add Members
    Note: You can add people, groups, or even entire contact groups
    NoteIf you need to add people from outside your organization, use their email address to invite them as guests
  10. When you're done adding members, select Add and then Close
