Question

What are the options for paying for an in person event, conference, virtual event or webinar registrations? 

Answer

Registrations can be paid in one of three ways. 

  1. Department pays the vendor directly through Banner
    1. Enter a direct pay document
    2. Itemized invoice required
      1. For out of state travel, an approved out of state travel request required
      2. For in state travel and virtual events, signed prepayment statement required (see attached form)
  2. Pay vendor directly through the travel credit card
    1. Credit card approval form must be completed, see Requesting Use of the Travel Credit Card
  3. Event attendee pays the registration fee
    Note: reimbursement cannot occur until after the event has ended
    1. Enter direct pay in Banner
    2. Invoice with proof of payment required
    3. For travel, list the expense on the travel payment detail form
