I want to view appointment summaries and advising notes or create new appointment documentation in Coyote Connections.

Viewing Appointment Summaries and Advising Notes
- Open a student's profile by selecting the student's name or using the search field
- Select the History tab
- View previous appointment summaries, advising notes, and alerts
- Filter the history by Appointment and Note Added to locate recent appointment summaries
- Select View Appointment Summary to open appointment details
- Select an attachment within the appointment summary to view related documents
Creating an Appointment Summary or Advising Note from a Student Profile
- Open the student's profile page
- Select Report on Appointment from the Options menu to document a meeting with the student
- Select Add a Note on this Student from the Options menu to record information that occurred outside of a meeting
- Enter the relevant information and save the record
Note: Appointment Summaries document interactions during a specific meeting. Advising Notes record information that is not tied to a specific appointment
Note: Documentation should include a concise summary of discussions, recommendations, referrals, follow-up plans, and other information related to student success. Avoid including sensitive, confidential, or unnecessary personal information
Creating an Ad Hoc Appointment Summary from the Staff Home Page
- Open the Staff Home page
- Select the checkbox next to one or more student names
- Select Actions from the gray toolbar
- Select Create Ad hoc Appointment Summary
- Enter the appointment information and save the summary
Creating An Appointment Summary From The Appointments Tab
- Open the Appointments tab on the advisor home page
- Locate the student in the Reporting section
- Select the check box next to the student's name
- Select Actions
- Select Add Appointment Summary
- Enter the appointment information and save the summary
Note: Appointment Summaries, Advising Notes, and Alert Comments are part of a student's academic record and may be accessible through formal records requests under the Family Educational Rights and Privacy Act (FERPA)
