Issue/Question
What hours do I enter in the EPAF for adjunct or temporary faculty?
How do I calculate ACA hours based on credit hours?
Environment
Cause
Superuser is entering an EPAF and needs the amount of hours to enter in for the hours per pay period.
Resolution
This article explains how to calculate Affordable Care Act (ACA) hours based on credit hours taught for ACA and EPAF purposes
- Use the Standard Formula to calculate the total semester hours
- Credit Hours × 2.25 × # of weeks + Service Hours = Total Semester Hours
- Example: 3 credit hours → 3 × 2.25 × 16 = 108 hours (+ service hours if applicable)
- Determine Hours Per Pay Period
- To determine the hours per pay period, you will then take the total hours calculated above and divide it by the number of pay periods they will be paid on. This can vary depending on the semester and position.
- Fall/Spring positions are commonly spread across 4 pay periods, while summer positions more often vary.
- Using the example above and assuming it was a standard 4 pay period adjunct, you would calculate hours per pay period as:
- 108 total hours / 4 pay periods = 27 hours per pay period
- Common Example Credit Hour Breakdowns using a 16-week semester and 0 service hours:
3 Credit Hours
- 3 × 2.25 × 16 = 108 total hours
- Fall/Spring: 27 hours per pay × 4 months = 108
- Summer:
- 1 pay period → 108 hours
- 2 pay periods → 54 hours
- 3 pay periods → 36 hours
- 4 pay periods → 27 hours
6 Credit Hours
- 6 × 2.25 × 16 = 216 total hours
- Fall/Spring: 54 hours per pay × 4 months = 216
- Summer:
- 1 pay period → 216 hours
- 2 pay periods → 108 hours
- 3 pay periods → 72 hours
- 4 pay periods → 54 hours
9 Credit Hours
- 9 × 2.25 × 16 = 324 total hours
- Fall/Spring: 81 hours per pay × 4 months = 324
- Summer:
- 1 pay period → 324 hours
- 2 pay periods → 162 hours
- 3 pay periods → 108 hours
- 4 pay periods → 81 hours
12 Credit Hours
- 12 × 2.25 × 16 = 432 total hours
- Fall/Spring: 108 hours per pay × 4 months = 432
- Summer:
- 1 pay period → 432 hours
- 2 pay periods → 216 hours
- 3 pay periods → 144 hours
- 4 pay periods → 108 hours
Key Notes
- Service hours (advising, committees, etc.) must be added to the totals above.
- Ensure you are using the appropriate amount of weeks and pay periods in your calculation.
