Instructions

TERMJB and TERMIN are both short EPAFs. TERMJB ends only the employee’s job or position, while TERMIN ends both the job and the employee’s employment record in PEAEMPL.

  • Termination of Job – TERMJB
    • Use TERMJB (Termination of Job Only) when an employee will continue employment within our institution in another department or is transferring to another Board of Regents institution.
  • Termination of Job and Employment – TERMIN
    • Use TERMIN (Termination of Job and Employment) when an employee is leaving the institution entirely or transferring to another state agency, such as the Department of Social Services. Payroll will send the superuser the Exit Worksheet that will have estimates of payouts to include for budget planning.

When beginning the EPAF, you will need to complete the initial steps in the landing page of our EPAF Guide to create and or find the employee’s ID.  After completing the general identification section and selecting Go, select the position you want to change.

  1. Select the appropriate position and suffix.
  2. Select Go.

Termination of Job – Step 1

  1. Enter the departure date in the Jobs Effective Date.
  2. Job Status will auto populate with Terminated.
  3. Job Change Reason
    1. Select one of the reasons which begin with “T”.
    2. Refer to the Exit Worksheet from Payroll for that code if applicable

Termination of Employee – Step 2 (TERMIN EPAF only)

  1. Term Reason Code.
    1. Choose reason based on Job Change Reason.
    2. Refer to the Exit Worksheet from Payroll for that code if applicable
  2. Termination Date.
    1. Enter the employee’s departure date.

Routing Queue

  1. Enter the appropriate routing queue for your department and campus.
  2. If there is a queue that pre-populates, data must be entered.  Other routing queue fields may be completed as appropriate.

Comments

  1. Enter comments that document the action. Comments must be factual.
    1. Include the amounts of annual and sick leave payouts from the Exit Worksheet. If you want the leave payouts paid out of different funds than the main job, identify the FOAP to use for the payout.
  2. Once completed, click the Save button.
  3. Then click the Submit button, either at the top or bottom of the page.
  4. If there are errors, they will be generated at the top.
    1. A warning will still allow the EPAF to be submitted.
    2. Errors must be corrected.  If an error occurs, fix, save again, and then submit.

You will get a green message at the top when the transaction has been submitted successfully.
