How do I use tags in Coyote One Stop articles and services?

Answer

Use tags to improve search results and help users find the right content quickly by applying consistent, single-word keywords that reflect system names, user actions, and common search terms.

  1. When should I use tags?
    • Use tags on articles and services to:
      • Connect related content
      • Match how users search
      • Improve search accuracy
  2. What are the tag requirements?
    • All tags must be:
      • Single word only
      • Lowercase, unless the product or service is normally written in all caps (for example: D2L, VPN, MFA)
      • Selected from the existing tag list whenever possible
        • Reuse existing tags whenever possible.  Consistent tagging improves search results and help connect related content.
  3. How many tags should I use?
    • Up to 9 tags per article or service
    • Focus on the most relevant tags rather than adding tags simply to reach the limit
  4. What types of tags should I include?
    • Use a mix of:
      • System (What tool or service)
        • D2L, outlook, VPN, DUO
      • Action (What the user is doing)
        • login, request, setup, install, reset
      • User Language (What users search for)
        • email, wifi, phone, code, password
      • Problem (If applicable)
        • error, issue, fail, locked
  5. How do I tag multi-word concepts?
    • Break phrases into multiple tags:
      • ✅ Example: Reset password
        • password, reset, login
      • ✅ Example: “Can’t connect to Wi-Fi”
        • wifi, connect, error
  6. What should I avoid? 
    • Do NOT:
      • Do NOT create duplicate tags with different casing (VPN vs vpn)
      • Do NOT use hyphenated phrases or hyphenated multiple words
      • Do NOT invent new variations of existing tags
      • Do NOT use overly generic tags like:
        • it, help, system
  7. How do I choose the right tags?
    1. Ask: What would someone type into search to find this?
    2. Then tag using:
      • The system name
      • The action
      • The user’s wording

  • duo

Quick Checklist (Before Publishing)

  • ✅ No more than 9 tags
  • ✅ Tags are single words
  • ✅ Tags are lowercase unless the product/service is normally all caps
